We are seeking an organized and detail-oriented Billing Administrator to join our team. This role is responsible for issuing accurate daily invoicing, managing customer accounts, recording payments received, and supporting all aspects of the billing process. The ideal candidate has strong communication skills, a knack for problem-solving, adept with Excel (working knowledge of pivot tables), strong experience with QuickBooks Online, Open Ticket and Open Invoice, and thrives in a fast-paced work environment. Prior experience in the fuel trucking industry preferred but not required with the right candidate.

Key Responsibilities:

• Prepare and issue accurate customer invoicing daily, attention to detail here is key
• Maintain customer billing records and ensure all details are constantly up to date
• Work closely with sales and operations to resolve billing issues
• Respond to customer inquiries regarding invoices and account status
• Process credit memos and adjustments when needed
• Assist accounting manager with weekly A/R requests
• Occasionally backup accounts payable and other reporting activities within accounting department

Requirements:

• High school diploma or equivalent
• 2+ years of experience in Accounts Receivable or general accounting*
• QuickBooks Online and Open Invoice experience required*
• Proficient with Microsoft Excel* (Pivot Table experience a plus)
• Strong attention to detail and accuracy
• Excellent organizational and time-management skills
• Ability to communicate professionally with customers, both written and verbally
• Fuel industry experience is preferred, but candidates with strong billing experience in related industries will also be considered.
