We are looking for a highly organized and proactive Office Coordinator to join our team. The ideal candidate will be responsible for managing desk hotelling, overseeing seating arrangements, supporting the onboarding of new personnel, maintaining office supplies and other similar duties. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  1. Administrative Support:
    • Provide general administrative support, calendar coordination, responding to emails, and handling mail and deliveries.
    • Maintain office supplies and equipment, ensuring that everything is in working order and adequately stocked.
    • Assist with the coordination of office events and meetings, including room reservations, catering, setup/cleanup and any supplies required for the meeting (notebooks, pens, etc.).
  2. Facilities Coordination:
    • Liaise with building management and external vendors for maintenance, repairs, and other facilities-related issues.
    • Ensure that common areas, conference rooms, and office spaces are clean, organized, and functional.
    • Implement and enforce office policies and procedures to maintain a productive and safe work environment.
    • Act as primary escort for office visitors when required.
    • Coordinate with facilities for kitchen supplies, first-aid kit and other facilities provided restock.
  3. Desk Hoteling and Seating Management:
    • Coordinate and manage desk hoteling processes, ensuring efficient allocation and use of workspace.
    • Maintain an up-to-date seating chart and ensure that all seating arrangements meet the needs of employees and team.
    • Coordinate with customer site admin for on-site / off-site seating arrangements and movement.
    • Assist employees with desk reservations and troubleshoot any issues related to hoteling systems or seating.
  4. Onboarding Support:
    • Coordinate with HR and IT to prepare workspaces and equipment for new hires.
    • Facilitate the onboarding process, including orientation sessions, distribution of welcome materials, and introductions to key personnel.
    • Ensure that new employees have access to necessary resources and are integrated smoothly into the team.

Qualifications

  • Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
  • Minimum of 3 years of experience in office coordination, administrative support, or a similar role.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Problem-solving skills and the ability to handle unexpected issues with a positive attitude.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Prior experience with desk hoteling systems and seating management is a plus.
